Vertex Books ("the App") is an accounting and bookkeeping tool for Singapore small businesses — invoicing, expenses, bank reconciliation, GST and financial reporting. This page explains what information we collect and how it's used.
Information we collect
- Account information — name and email address, collected when you sign up or sign in (via email/password or Google Sign-In through Firebase Authentication).
- Business and financial data — invoices, expenses, income, bills, contacts, bank transactions, journal entries, and fixed assets that you or your team enter into your organisation's books.
- Receipt photos — if you use the AI receipt-scanning feature, the photo is processed to extract line items and amounts, then stored with the resulting expense record so you can review it later.
- Billing information — subscription and payment details are handled directly by Stripe (card or PayNow); we do not store your card number or bank details ourselves.
How we use your information
Your information is used solely to operate the app's accounting features for your organisation: recording transactions, generating invoices and reports, reconciling bank activity, and — where you use the AI scanning feature — extracting structured data from a receipt photo via an AI model (AWS Bedrock or Anthropic's API) solely to populate that expense entry. We do not sell your data, and we do not use it for advertising.
Where your data is stored
Sign-in is handled by Firebase Authentication (Google). Your organisation's books are stored in an isolated database schema on AWS infrastructure in the Asia Pacific (Singapore) region. Email delivery (invoices, invites, verification) uses Amazon SES; payments are processed by Stripe.
Who can see your data
Vertex Books is multi-tenant software: your organisation's data is isolated from every other organisation on the platform. Within your organisation, visibility follows your team's roles (owner, admin, member, viewer) as configured in Settings.
Your choices
- You can review and update your account and organisation details from within the app.
- You can control which email notifications you receive from Settings.
- You can request account or organisation data deletion at any time — see Delete Your Account.
Children's privacy
Vertex Books is business software intended for company owners, staff, and bookkeepers, and is not directed at children under 13.
Changes to this policy
If this policy changes, we'll update the date at the top of this page.
